We collect personal information that you voluntarily provide to us when you register on the website, purchase a membership, or contact us. This includes:

• Full name and email address • Phone number (optional) • Suburb, postcode, and state (optional), used to determine your forecast region and to help us prepare for any strategy calls you book • Payment information (processed securely by Stripe, we do not store card details) • Information about your association with other weather or forecast services • Your forecast region preferences (your state and BOM forecast district) • Communications you send to us

We may also collect non-personal information such as browser type, device information, and usage data through cookies and analytics tools.

3. How We Use Your Information

We use the personal information we collect to:

• Create and manage your member account • Process payments and manage your membership subscription • Deliver forecast content, alerts, and briefings • Personalise your dashboard experience based on your region preferences • Prepare for strategy calls you book, so we understand your location and forecast needs in advance • Send you service-related communications and, where you have opted in, promotional updates • Comply with legal obligations • Improve our website and services

We will not use your personal information for any purpose that is incompatible with the purpose for which it was collected without your consent.

4. Third-Party Data Processors

To deliver our services, we share certain personal information with trusted third-party service providers. These include:

• Stripe (United States): payment processing. Your payment information is handled directly by Stripe and subject to Stripe's Privacy Policy (stripe.com/privacy). We do not store your card details. • Supabase (United States): secure database and authentication hosting. Your account and member data is stored on Supabase's infrastructure in accordance with their data security standards (supabase.com/privacy). • Resend (United States): transactional email delivery. Your name and email address are shared with Resend solely for the purpose of delivering membership emails, forecast alerts, and briefing confirmations (resend.com/privacy). • Cal.com (United States): scheduling and booking of strategy calls. When you book a call, your name, email address, and booking details are shared with Cal.com to manage the appointment and generate a video meeting link (cal.com/privacy). • Vercel (United States): website and application hosting and content delivery. Vercel processes technical data such as your IP address and device information as part of serving the website (vercel.com/legal/privacy-policy).

All third-party providers are contractually required to handle your personal information securely and in accordance with applicable privacy laws. We do not sell your personal information to any third party.

5. Cross-Border Disclosure of Personal Information

Some of the third-party service providers we use to operate this website are based in the United States of America. As a result, your personal information may be transferred to, stored in, and processed in a country outside Australia.

We take steps to ensure that any overseas recipients of your personal information are subject to a law, binding scheme, or contract that effectively upholds standards substantially similar to the Australian Privacy Principles (APP 8.1). Each of our US-based providers (Stripe, Supabase, Resend, Cal.com, and Vercel) maintains industry-standard data protection practices, contractual obligations, and compliance frameworks including SOC 2 certification and/or GDPR compliance.

6. Sensitive Information

We do not intentionally collect sensitive information as defined under the Privacy Act (such as health information, racial or ethnic origin, political opinions, or financial account details beyond what is required for payment processing).

If sensitive information is incidentally provided to us, it will be used only for the purpose for which it was obtained, or as required or authorised by law.

7. Data Security

We take the security of your personal information seriously. Your data is stored on secure, encrypted servers and protected by appropriate technical and organisational measures against unauthorised access, disclosure, alteration, or destruction.

Access to personal information is restricted to authorised personnel only. Payment data is handled exclusively by Stripe and is never stored on our servers.

While we take all reasonable steps to protect your information, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security.

8. Data Retention

We retain your personal information for as long as your account is active or as needed to provide our services. If you cancel your membership, we will retain your data for a minimum of 7 years as required for legal and accounting purposes, after which it will be securely deleted or de-identified.

You may request deletion of your account and personal information at any time by contacting us at info@cynoptec.com. Note that some information may be retained where required by law.

9. Access & Correction

You have the right to access the personal information we hold about you and to request corrections if it is inaccurate, incomplete, or out of date. To make an access or correction request, please contact us in writing at info@cynoptec.com.

We will respond to your request within a reasonable timeframe. We may require you to verify your identity before releasing or updating personal information. We will not charge a fee for access requests, though an administrative fee may apply for providing copies of records.

10. Marketing Communications

If you have opted in to receive marketing communications, we may send you promotional emails, forecast previews, and updates about our services. You may unsubscribe at any time by clicking the unsubscribe link in any email or by contacting us at info@cynoptec.com.

We will not send you unsolicited marketing communications without your consent.
